PlanHappy Discovery Services
Are you tired of chasing providers for policy information?
Frustrated at being on hold for hours just to be told that they’ve not received your Letter of Authority when you know that they have?
Instead, how about you get on with the great client stuff that you should be doing and let us deal with all the administrative hassle of obtaining your clients existing policy information?
Does that sound good?
The PlanHappy Discovery service allows you to outsource the entire process of obtaining clients existing policy information. It’s what we do and we love it – we’re a bit weird like that.
And the best thing is it’s all done directly within the PlanHappy Portal CMS software. You get the information in real time, directly into your client record with no rekeying. What’s not to like?
Simply identify the policies which you require information on, obtain a signed Letter of Authority which you can print from the PlanHappy Portal and we’ll do the rest.
We’ll register the Letter of Authority with the provider, obtain the initial information pack and key all the information directly to your client record. We’ll then identify any missing data that is required and liaise with the provider to fill in the gaps and sense check the data that they provide.
It’s all done in your PlanHappy Portal so you have full visibility of progress in real time and always know where things are at, directly in the client record.
What’s included?
There’s two levels of service, Discovery and Discovery Plus+.
The Discovery service is as described above where you identify the policies and gather the Letters of Authority and then we take it one from there.
If you’d rather outsource the whole process then the Discovery Plus+ service allows you to do that.
Once you’ve engaged your client we’ll arrange a Discovery Plus + session with them via video call where we’ll identify all relevant policies, obtain the signed Letters of Authority and complete the Discovery service for each policy. In addition we will also collect the KYC information for your clients personal details, health, employment, essential expenditure and non-policy-based assets.

FAQ
You can print off a pre-printed PlanHappy Letter of Authority from the Portal. This gives authority to both PlanHappy Discovery Services and yourself just in case you need to ring the provider directly.
Yes, the Letter of Authority includes permission from your client for PlanHappy Discovery Services to obtain information on their behalf.
Different providers have different service standards for different types of policy. We focus on minimising any turnaround times so we aim to deal with all actions on the same day that they are triggered so the critical path for any policy type is as short as it can be.
You are billed monthly for all policies that are completed in the previous month.
The forms for policy information in the PlanHappy Portal CMS are extensive and allow the capture of all possible information that could relate to a particular policy. Each information field is graded either Essential or Non Essential. Essential information is the data that is normally required to satisfy any analysis, cashflow and KYC requirements and you can see these in the Settings section of the PlanHappy CMS. Once all Essential information is gathered and uploaded to your clients record then the Discovery is classed as complete. The majority of the Non Essential information is normally gathered along the way but may not be 100%, normally due to the limitations of the providers data records. If there is a particular piece of non-essential information that you require then we are always happy to ensure that is sourced for you.
The majority (80% by volume) of Providers accept scanned copies and so we do not need hard copies. The PlanHappy Portal CMS alerts you to any policies that are with providers that require hard copies and in that instance we ask you to send them to us using our Freepost address.
For the standard Discovery service it is not normally necessary unless we are having difficulty identifying the customer record with the provider in which case we sometimes need to contact the client form additional information. Common situations are where the policy is held under a maiden name on the providers system and we do not have a record of it or perhaps the clients address is historic. For Discovery Plus + we will be working directly with your client via video call.
That is entirely up to you and you are more than welcome to join or you can leave us to it.
The regulatory Know Your Client requirements are there to ensure that you know sufficient information about your clients existing situation alongside their goals and objectives to be able to make suitable product recommendations and the judgement as to the scope of this for any particular client or advice project can only be ascertained by the Adviser. Our role is to gather the (boring) factual bits on their current circumstances and assets and allow the adviser to focus on the goals and objectives discussions where they add the most value. We will obtain information and complete the specific sections of your PlanHappy Portal CMS client record noted in the service table above along with the relevant policy information.
Yes, on the Discovery service you would only request our services on those policies that you wish us to complete the discovery work on. If you are using Discovery Plus + then when you instruct us, we will ask you to nominate the policy types that you would like us to complete Discovery services on and which you would like us to ignore, if any. For example, you may select DB & DC Pensions and all other investment types but ask us to ignore mortgages or bank accounts if you do not feel they are required or you have the information from elsewhere.
On the PlanHappy Discovery Letter of Authority there is a section where your client can give permission to the provider to transfer servicing rights to your firm. PlanHappy Discovery Services are never named as the servicing agent, we only ever ask for authority to obtain information.
That is the PlanHappy term for a Letter of Authority. We feel it’s little bit less scary sounding to clients and is more descriptive of what it’s actual purpose is!
